How we Got There
First Aid Trakker originally just helped keep track of inventory, making sure what was needed was on hand and reduce ‘shrinkage.’
Invoices were also calculated quickly and properly. Prices were accurate for all accounts whether they had special pricing, volume discounts, special tax rules… The correct prices were used and the totals were accurate.
Once invoices were made easy and accurate and inventory started to become manageable, we looked for more ways to reduce expenses.
No Postage Necessary
Then the Auto-Emailer was added. This automatically and instantly emails the accurate invoices to the Accounts Payable person just seconds after the account is serviced. This means it:
- Eliminated in office processing time
- Eliminated Postage, envelops, paper…
- Our clients got paid faster
Fuel Efficiency
Starting with GPS Tracking, we next added SMART Routing which automatically optimized routes reducing drive time and increasing time for prospecting.
Working with our clients, we had been monitoring reps daily travel and through conversations with the reps our clients came to realize that too many reps equated ‘windshield time’ as productive working time. So we developed SMART Routing to make sure all accounts are not only seen on time, but that they are intelligently grouped together based upon location and time required on site.
With the price of gas, saving even a few miles a day can pay for the app.
Reduce Office Staff Work
Duplicate data entry errors and time wasted entering invoices and data into multiple systems were eliminated because everything is passed accurately and automatically. From the rep’s Smartphone to the office staff, to the customer’s accounts payable manager’s email inbox, and into Quickbooks. No duplicate data entry required. This not only save time, but also reduces mistakes, both of which of course save money.
So now the invoicing process looks like this:
- The Rep is automatically and efficiently routed
- The rep enters the invoice details into their smartphone (they can even scan items)
- A pull sheet is displayed for the rep to pull products from the van and place into the cabinets
- The Invoice is reviewed and signed by the customer (when applicable)
- The office automatically gets the invoice
- The customer’s AP person automatically gets a copy of the invoice
- Meanwhile the rep is off to their next stop
- At the end of the day Restock Reports are generated for the warehouse to replenish inventory to the van
- The Invoices are brought directly into Quickbooks

Order Trakker to the Rescue
For those customer’s uncomfortable with a rep coming into their building, the we now offer a ‘self-service’ app called Order Trakker. The customer can easily fill in the order and the office get’s it and can get it delivered to them.
So now there are even more ways to satisfy the customer’s needs for First Aid Cabinet Service in the way they are most comfortable having it don.
